1. Information We Collect

When you create an account on CircleLead, we collect:

  • Account information: Name, email address, and password (hashed).
  • Circle membership data: Phone number, availability schedule, and service specialties you configure per circle.
  • Lead data: Name, phone number, and additional context provided when referring a lead.
  • Usage data: Pages visited, features used, and timestamps for security and product improvement.

2. How We Use Your Information

  • To operate the platform: route leads, send notifications, and track commissions.
  • To send transactional emails: invitations, lead assignments, and agreement updates.
  • To improve the product based on aggregate usage patterns.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3. Notifications & Contact Methods

CircleLead sends notifications via the contact method you choose (email, WhatsApp, webhook). Email is always sent as a fallback regardless of your selected method. You can change your contact preferences at any time from your circle settings.

4. Data Storage & Security

  • Data is stored in AWS (us-east-1) using encrypted DynamoDB tables.
  • Authentication is handled by Amazon Cognito with secure password policies.
  • All traffic is encrypted in transit via TLS 1.2+.
  • We do not store credit card information (handled by our payment processor).

5. Data Retention

Account data is retained while your account is active. Lead data is retained for commission tracking purposes. You may request deletion of your account and associated data by contacting us.

6. Third-Party Services

  • Amazon Web Services: Infrastructure and email delivery.
  • Google: OAuth sign-in and Calendar integration (optional).
  • Meta (WhatsApp Business API): Message delivery for members who opt in.

7. Your Rights

You may:

  • Access, correct, or delete your personal data.
  • Withdraw consent for optional integrations (WhatsApp, Google Calendar).
  • Export your data upon request.
  • Leave any circle at any time, which removes your membership data from that circle.

8. Cookies

CircleLead uses only essential cookies for authentication (session tokens). We do not use tracking cookies or third-party analytics cookies.
